Appointments

Can our staff see the texting and use the software to interact with our patients?

Our goal is to minimize the burden of appointment reminders and communication for you, so we handle 100% of the messages. We'll handle rescheduling, cancellations and the most frequently asked questions your patients have. When we get questions we are unable to answer we'll get that patient in direct contact with you right away.

What happens if you double book me?

What a great problem to have, right? We can handle this one of two ways, depending on your preference. We can immediately rebook them for an alternate time . Or option 2, preferred by most of our clients, keep the double booking and just make the time for them when they arrive. Just let us know which method you prefer!

What happens if patients don't show up to their appointment or cancel?

We know how frustrating this can be so if they cancel or they don’t show for their appointment, we will send them a string of texts spread out for a few days and we will work hard to get them to re-schedule their appointment.

Can you connect Salesfuze to ChiroTouch, or my EHR software so that appointments go into my scheduling software automatically?

We aren’t doing high volume appointments so there will only be a few times per month you'll get our notifications and manually input those appointments into your software. But if you really want this automated connection, then you'll need to go to the support center of your software and share your calendar with a Google Calendar and then share that calendar with us. If your software cannot integrate with Google calendar, then the integration with Salesfuze is not possible.

Is this going to add a lot of work on my intake person/staff?

This actually takes less time than it would take your staff to set up an appointment normally, because we handle the conversation. All your staff needs to do is open an email and put the appointment into your software. Otherwise they would spend lots of time on the phone talking about the offer, trying to convince the lead to schedule. We have a professional sales staff that keeps your professional reputation at the forefront while focusing on getting an appointment booked. Your staff only does this part time, we do it 24/7/365 and know how to do this the right way.

Will this replace my own appointment setting software?

No, this is not meant to replace anything that you currently use to track you own appointment setting efforts. You will need to continue using your current appointment setting process in addition to updating these leads with their appointment outcomes.

How do you see our calendar to block times?

When you receive and appointment notification look at your calendar and let us know if they need to be rebooked. We are not able to see the times you have booked on your calendar unless you can integrate it with google calendar.

Do we have to book on 2 calendars?

No, just book the appointments on your calendar from the email/text notifications we send you. If some needs to be rebooked give us 2 appt time options to present to your patient.

What happens when someone is mad about the texts?

Give us their name and phone number and we can remove them from the campaign. We take this very seriously and remove these immediately.

Will you respond to comments made on my Facebook ads?

Yes, during normal business hours our live agents will address comments made on your ads. For comments after hours and on weekends and holidays we'll respond on the next normal workday during business hours.

Account Performance

How many appointments can I expect to get from Salesfuze?

The number of appointments we set per month will depend on the quality of your list and the relationship you have with them. If you have had recent contact with your list and you have good relationship with them, you can expect as many as 50 appointments per month. If you have not had contact with your list recently or do not have a good relationship with them you can expect as little as 10 appointments per month. We will adjust the number of leads we send texts to to get you at least 10 appointments per month as time goes on.

I've got a great idea for your advertising team, how do I tell them what I want them to do?

While we do very much appreciate your enthusiasm and knowledge of your practice, please allow us to do our job and be the experts in advertising. If you want to boost your performance then you'll need to get us the assets we request from you as quickly as you can. Remember those videos we asked for, did you get those to us yet?

It's been 3 weeks, where are all of my appointments you promised?

Please review your Action Plan, we made no promises to a specific number of appointments and we spelled out the details of what you should expect from us as well as what we expect from you. The first 90 days is called the learning phase and this is critical to getting your appointment volume higher in the long term. We are building a foundation together but if you rush things now you are going to suffer in the long term, patience my friend, patience.

Can we see what you’re saying so we know how to respond?

We are responding to hundreds of texts throughout the day, this would be very overwhelming for you to sift through these.

Advertising Costs

What is Foundational Ad spend?

Foundational Ad Spend is paid directly to Driving Force Company. This flat rate ad cost allows you 2 distinct advantages.

1. Faster use of multiple advertising platforms using our existing established accounts. We can more quickly allocate money to different platforms depending on the performance needs of your account. For example: Initially the foundational ad spend will go heavily toward texting costs, we may spend all of it just to send thousands of texts for you to build the momentum or your account. As performance needs dictate, we will reduce texting and spend more of that money other platforms such as YouTube, Google, Facebook retargeting and any number of other places. Using our preexisting accounts avoids the time and manpower needed to open up all of these accounts individually for you as well as eliminating the months and months required to establish an advertising history that these platforms require, then end result is you get you more appointments from multiple advertising platforms much faster.

2. Bulk media purchases getting you more valuable advertising placement at a discounted rate. As an agency we have hundreds of accounts and spend millions of dollars in ad spend every year. Because of this, advertising platforms give us premium placement as well as a discounted rate for our ad placement. We pass this discount on to you.

What is Practice Scaling Ad spend?

Practice Scaling Ad Spend is ad spend that you pay directly to the Facebook platform and increases based on your needs. For example: When you are ready to add seminars or webinars then that would require more ad spend allocated towards those new funnels as you scale and make your practice even bigger as you grow with us.

Why do you need my credit card when you are setting up my Facebook account, I thought Driving Force was paying for the first $1000 in ad spend?

Facebook requires you to have 2 forms of payment on file within your Ad Account and you will pay Facebook directly for your Practice Scaling Ad Spend. The Foundational Ad Spend is a separate ad spend as described earlier.
