How do I know what's going on with my account?

Email us right away and we can provide you with exactly what you need to do next. We have a series of emails and tutorials to keep you fully informed but sometimes those emails get filtered out of your inbox and we understand that sometimes you just don't have time to go a dig them up, so please just send us a quick email and one of our helpful account managers will get back with you shortly.

I am just getting started. For the bonus PI resources, do I pay for those as well??

The bonuses mentioned on the onboarding page are purely optional resources that you may want to take advantage of. Yes, there are additional costs for you should you chose to take advantage of those offers and we have pre-arranged discounts for you.

I sent in all of my onboarding information. What happens next?

We are setting up your software with all of the information you sent to us. This does take a few days to gather the details of your area exclusive attorney network and begin the outreach process. We are also going to begin a very respectful and subtle outreach to your patients to gain permission and trust for future offers. Also please keep an eye on your email for training on how to use the software.

Why do you need my EIN?

Your EIN number is used to comply with HIPAA and A2P 10DLC registration requirements.

I am not able to upload my documents, how do I get them to you?

I need help exporting my list from my EHR software?

Simply email us the type of software you are using and exactly what problems you are experiencing and we'll help all we can: [email protected]

What do the communications look like that you are sending to my patients to engage them in a conversation about personal injuries?

What do I do when I get a new lead notification?

You will simply call this patient to see if they qualify as a new personal injury patient or determine if you can help them in any other way.

What do I do when I get a new appointment notification?

You will get 2 notifications for each appointment we book for you. These notifications will include full contact information for your new patient and the notification will give your team detailed instructions as well as sample scripting for the call they should make.

Are all the appointments you schedule for me going to be personal injury cases?

No, we are focusing our messages on personal injury but your patients are going to have ailments of all types and we are going to schedule all of them for you so you can reap all of the benefits of reactivating your patients for personal injury and non-personal injury related treatment. If you follow the sample script that is in every appointment notification you will find it very easy to determine the needs of your patient without ever feeling like an ambulance chaser in any way.

How often are you sending my patients these communications?

The minimum we send these emails and SMS messages is once per week, but if your patients respond to us they will receive responses from our staff more frequently. We will use both email and SMS text messages depending on the type of contact information we have for them and depending on how they contact our staff.

Will I need to get my patient's consent for this marketing?

Please refer to HHS.gov 45 CFR 164.501, 164.508(a)(3) to answer your legal matters. Here is where sending communications to your list of patients about your services gets defined.

What is NOT “Marketing”?

The Privacy Rule carves out exceptions to the definition of marketing under the following three categories:

(1) A communication is not “marketing” if it is made to describe a health-related product or service (or payment for such product or service) that is provided by, or included in a plan of benefits of, the covered entity making the communication, including communications about:

The entities participating in a health care provider network or health plan network; < Replacement of, or enhancements to, a health plan; andHealth-related products or services available only to a health plan enrollee that add value to, but are not part of, a plan of benefits.

How will I know when you get me a new PI patient?

You will receive an email from [email protected]. In that email you will receive full contact information about your patient as well as a set of instructions for the next steps you MUST take to get that patient to show up for their appointment. We have also included in that email notification both live call and voicemail scripts for your staff to follow along with.

How far of a radius will my new network of attorneys extend from my practice?

Depending on your location and population density we may need to extend the search radius up to 50 miles or more to build a minimum network size of at least 100 attorneys.

How do you create my initial list of personal injury attorneys?

Initially your PI Network includes a search for attorneys that have handled personal injury cases in the past or expressed interest in being a part of a personal injury network. This is just the starting point for cold outreach in a specific radius from your practice. This is a cold list to your practice that we begin outreach to using a 4 stage strategy. As we contact each member of your network for you we will remove members from the list for various reasons, clean the list and then add more members to this list until you have a viable network of attorneys that can refer personal injury cases to you.

What are you saying in the outreach to my new network of personal injury attorneys?

The outreach to your new list of personal injury attorneys is a 4 stage strategy that we find warms up the attorney to you and your practice and then builds a trusted relationship, but it takes time to do that properly.

Stage 1 - Informal introduction of you and your practice to the attorney

Stage 2 - Explain that you have a valuable asset that they desire...your patients

Stage 3 - Suggest a collaborative relationship between you and the attorney

Stage 4 - Request personal injury case referrals from the attorney

There are some attorneys that I don't want you to contact, how do I let you know who those attorneys are?

There are 2 ways to do that. You can simply email us the list you don't want us to contact [email protected] OR use the software and drag and drop the attorneys to the 'Do Not Contact' column and this will happen automatically.

There are some attorneys that don't do personal injury work any longer or they are not personal injury attorneys at all, what am I supposed to do with them?

Attorneys do shift their practice focus from time to time and some stop practicing altogether. When you/we run across those situations, simply move that attorney into the "DO Not Contact" column and we will replace that attorney in your network.

How do I stop the emails from going to the attorneys that I start working with?

Go to your opportunity pipeline and move that contact card to :Sent a PI case to" or "In Communication with" or Received a PI case from". This will remove that attorney from your regular email outreach campaign.

What do I do when I get an email from an attorney?

As we build your network and make sure you stay 'top of mind' to the attorney you will receive notifications from your PI Connection account that an attorney has reached out to you. When that happens the next step is for you to contact them right away, a call is the best way to begin this collaboration on cases. So, when you receive a notification like the one below, simply call the attorney and start working with them on collaborating PI cases together.

What should I do when an attorney wants me to take them to lunch or meet in person?

CONGRATULATIONS!!!!

The fact that you have completely shifted the relationship paradigm between yourself an the attorney cannot be overstated, this is truly an exceptional accomplishment. So, accept the invitation to lunch and prepare for that special event with the additional training below.

What should I say when I get the attorney on the phone?

Counselor, (Attorneys love being called counselor) As you may have read in my email I am currently building a network of preferred personal injury referral partners to send unattached personal injury cases to. They love our documentation, they love working with us, we build a relationship of trust, they settle the case and get their 25 grand on average and we get our 3 to 5 grand on average. Can I count you in as a referral partner that would do that?

What should I say if the attorney wants me to send them a case before they send me a case?

FYI - This is a very problematic situation, sounds a bit like quid pro quo or patient dealing and in many states this is illegal.

Live Call Script:

Counselor I would love the ability to send you a case for every case you send to me. Doctors and practices like that are considered unicorns in my industry, I am sure you understand that attorneys dominate the marketing in the personal injury space and there is no way for me to compete against your advertising budget and that's because the math of case value is so asymmetrical. The average case fee to me is between 3 and 5 thousand while according to "filevine" legal software the average case value to you is 25 thousand. Now I understand some are much less but some are much more, but on average a case is worth 5X more to you.

We are working to develop unattached cases from a number of sources including our patient list, their friends and family and we are even making available a PI Hotline to them. The preferred partners we work with always protect our bill at 100% when possible as they understand the value of a free client. On average we can save you the 2 thousand dollar acquisition cost for a PI case that you would normally have to spend on advertising. So for us to move forward we would need to have a relationship based on mutual trust and respect.

Our clinic will ensure you have the documentation and medical billing you need to give you case value drivers through our (LIST OF YOUR TOP 3 BENEFITS, NOT SERVICES OR EQUIPMENT THAT EVERY OTHER CHIROPRACTOR HAS, THE ATTORNEY EXPECTS YOU TO HAVE THE TOOLS, SO THESE ARE NOT BENEFITS)
